A counter and a bay. One job card.
Parts across four grades, interchange, price levels, technician hours and the books — one Philippine-built system for auto supply with a talyer attached.
| Oil filter 90915-YZZD4 | genuine | 1 pc | 480.00 |
| Engine oil 5W-30, 6L | genuine | 6 L | 3,180.00 |
| Brake pad set, front | Japan surplus | 1 set | 2,850.00 |
| Labour · PMS 40,000 km | 2.5 hrs | @ ₱650 | 1,625.00 |
| Labour · brake replacement | 1.2 hrs | @ ₱650 | 780.00 |
| Quoted | 3 parts, 3.7 hrs | 8,700.00 |
A parts system has no hours in it. A workshop system has no stock.
So most shops run both and reconcile them by hand, and nobody can say what a job actually made. The parts left the shelf at one figure, the bay sold hours at another, and the margin on the unit that just drove off is a guess somebody makes at the end of the month — if they make it at all.
Three problems your trade has that other businesses never do.
One job card, both halves
Parts issued from stock at what they cost you, and hours applied from the bay at what that technician costs — on the same document, closed together, posted together. The margin on a job is the margin on that job.
- Quoted against actual, so the half hour over is visible before it is billed.
- A PMS is a template — the parts and the hours come up together.
- Core charges and old units carried on the job rather than remembered.
One job, both halves, posted together. The parts leave stock at what they cost and the hours leave the bay at what that technician costs — so the margin on the job is the margin on THAT job, ₱3,329 of it, rather than a guess at the end of the month.
Four grades of the same part, on one shelf
Genuine, Japan replacement, Taiwan replacement and surplus are four different things a customer may be sold for one application — and Banawe runs on knowing the difference. Held as grades against the same part, with the interchange numbers that fit the same unit.
- Grade on the invoice, so nobody is surprised at the counter.
- Interchange and supersession held, so a superseded number still sells.
- Casa, trade, fleet and walk-in priced from the account, not from memory.
Four grades against one application, each with its own cost, its own price and the grade printed on the invoice. Carried as four unrelated part numbers instead — which is the usual arrangement — a shop finishes the year holding stock it did not know it had.
Paid for, and collected
Fleet and insurance work is sold on terms, and terms are where a talyer’s money goes to sleep. Statements, ageing and the conversation that follows, produced from the invoices rather than rebuilt in a spreadsheet.
- Ageing by account, oldest first, with the job it came from.
- A statement they can be sent, produced not assembled.
- Credit held where it should be, before the next unit comes in.
The other thirty customers are fine, which is exactly why a total tells you nothing.
What your people actually ask it, on an ordinary Tuesday.
Every answer comes from your own records, runs with the asking person’s permissions, and carries the rows it was read from.
- “Which jobs went over the quoted hours?”
- “What did this job actually make?”
- “Which fleet accounts are overdue?”
- “Do we have this part, or one that interchanges?”
- “What is bay utilisation this week?”
- “Send me the ageing by account as a file.”
Every figure comes from a view over your own records — never the model’s arithmetic — and the answer carries the query and the row count behind it. No other ERP sold in the Philippines has this.
The ones this trade asks first.
Does a job card carry parts and labour together?
Yes, and it posts as one thing. That is the whole point: a parts package with no hours and a workshop package with no stock is two systems and a reconciliation somebody does on a Saturday.
Can we hold genuine, Japan surplus and Taiwan replacement as separate grades?
Yes — grades against one part and one application, each with its own cost and its own price, and the grade printed on the invoice. Carrying them as unrelated part numbers is how a shop finishes the year with stock it did not know it had.
What about interchange and superseded numbers?
Held against the same stock, so a superseded number still sells and a search on either one finds it.
We bill fleets and insurance. Does that work?
Yes. It is an account with terms and a purchase order number on the invoice, and it ages on the same statement as everything else — which is usually the first time a shop sees how much of its money is sitting with one insurer.
We are a casa, not a talyer. Does that change anything?
Only the words on the screen. A dealer service centre runs the same two halves — parts out of stock and hours out of a bay — with warranty and campaign work as another account that is billed rather than paid at the counter.
We have been burned before. What makes this different?
Almost everybody we talk to has a system project that died, and usually the same way: a long implementation, a partner who left, and a go-live date that kept moving. Ours is thirty days with the date written into the contract, we implement it ourselves rather than through a partner, and if thirty days is not realistic for your business we will say so before you sign rather than in month three.
What happens if it does not work out?
You keep everything. Your data comes out in open formats at any time and at no charge, and there is no license to unwind because we do not sell one. A system you cannot leave is a system you do not own.
Who actually answers when something breaks?
We do — one company, one number, and the people who wrote the code. There is no reseller in between and nobody to escalate to. Datche has been trading in Cebu since 1978 and our own business runs on this.
My people are not technical. Will they actually use it?
That is what the assistant is for. A supervisor asks it how to do something and it walks them through that screen in plain English, with their own permissions and their own data. Most of the training a system like this normally needs is somebody wanting to ask a question — and now there is something to ask.
How much of my staff’s time will this take?
Less than a migration, because there is no migration. Your opening balances go in, and after that the system reads the documents you already produce instead of asking your people to key them again. The week that costs you anything is week two, when your own day runs through it with us in the room.
What about BIR?
VAT, withholding, the 2307s, the summary lists and the books of account are the shape of the system rather than a module added at the end, and we supply the documentation your CAS registration needs. We will also tell you what adopting a computerized accounting system obliges you to do by 31 December 2026 — before you sign, not after.
Same system underneath.
See it on your own figures.
Bring one ordinary day from your business and we will run it through in front of you — your items, your prices, your branches. About an hour, and no obligation.
