You were full last night. Did you make money?
Occupancy is not profit. A room sold through an agent at a discounted rate, serviced, lit, cooled and amenitied can contribute a fraction of the same room sold direct — and most properties cannot say which of last night’s rooms were which. The channel took its cut long before the P&L was written.
Three problems your trade has that other businesses never do.
What each channel actually leaves you
Rate, commission, and what is left after the room has been serviced. Direct is not automatically best and an agent is not automatically bad — but you cannot decide either way on a number nobody has.
- Every channel reconciled — what they say they sold, what they say they owe, and what arrived.
- Commission accrued as earned, so the month’s cost is in the month’s figures.
- Guest history survives the channel — an agent booking last time is still your guest.

Cost per occupied room, nightly
Not a monthly average. What last night actually cost to sell, by department, with kitchen, laundry and head office carried — so a soft week is visible while there is still time to price for it.
- Housekeeping as a cost, not a rota — minutes, linen and amenities per room.
- Engineering and linen counted in, attached to the rooms that consumed them.
- Departments carry their share, so each one’s profit is its real one.
The board the front desk actually works from: who is arriving, who is leaving, and what housekeeping has not finished.
A forward book you can price against
Rooms sold, held and left, by date and by segment, for as far ahead as you take bookings — beside the same point last season, because pace without a comparison is just a number.
- Rate decisions are dated and attributed, so a season can be reviewed afterwards.
- Length-of-stay controls that protect a weekend instead of filling Friday.
- Nobody prices alone — approvals sit on the rates that matter.
The same room, four prices, and the one that looks highest is not the one that leaves the most behind.
What your people actually ask it, on an ordinary Tuesday.
Every answer comes from your own records, runs with the asking person’s permissions, and carries the rows it was read from.
- “Which channel actually leaves us the most?”

Every figure comes from a view over your own records — never the model’s arithmetic — and the answer carries the query and the row count behind it. No other ERP sold in the Philippines has this.
The ones this trade asks first.
Is this a PMS or an ERP?
Both, and that is the point. Front office, rates, folios, housekeeping and night audit sit on the same database as the ledger, payroll and stock — so a charge at an outlet reaches the guest’s folio and the books in one movement.
Do you connect to channel managers?
Yes. Where a channel or channel manager has an interface we use it; where one does not, the reconciliation is read from the statement they send. Either way the commission is accrued as it is earned.
Can we run several properties?
Each property is a site and each company an entity. The group consolidates with intercompany taken out, and you can compare properties on the same basis.
What about foreign currency at the desk?
Recorded at a rate with the source it came from, held as unrealised while the notes are in the drawer, and realized when the bank actually buys them.
We have been burned before. What makes this different?
Almost everybody we talk to has a system project that died, and usually the same way: a long implementation, a partner who left, and a go-live date that kept moving. Ours is thirty days with the date written into the contract, we implement it ourselves rather than through a partner, and if thirty days is not realistic for your business we will say so before you sign rather than in month three.
What happens if it does not work out?
You keep everything. Your data comes out in open formats at any time and at no charge, and there is no license to unwind because we do not sell one. A system you cannot leave is a system you do not own.
Who actually answers when something breaks?
We do — one company, one number, and the people who wrote the code. There is no reseller in between and nobody to escalate to. Datche has been trading in Cebu since 1978 and our own business runs on this.
My people are not technical. Will they actually use it?
That is what the assistant is for. A supervisor asks it how to do something and it walks them through that screen in plain English, with their own permissions and their own data. Most of the training a system like this normally needs is somebody wanting to ask a question — and now there is something to ask.
How much of my staff’s time will this take?
Less than a migration, because there is no migration. Your opening balances go in, and after that the system reads the documents you already produce instead of asking your people to key them again. The week that costs you anything is week two, when your own day runs through it with us in the room.
What about BIR?
VAT, withholding, the 2307s, the summary lists and the books of account are the shape of the system rather than a module added at the end, and we supply the documentation your CAS registration needs. We will also tell you what adopting a computerized accounting system obliges you to do by 31 December 2026 — before you sign, not after.
