Reservations, rates, folios, and a night audit that closes.
The property tonight: who is arriving, who is in, what state every room is in, and the trading day balanced and posted before anybody goes home.
| Occupied | arrived, keys issued | 64 | 74.4% |
| Arrivals due | 6 guaranteed | 7 | |
| Departures | all folios balanced | 12 | closed |
| Out of order | aircon — 2 nights | 3 | blocked |
| Housekeeping | clean and inspected | 79 | ready |
| Night audit | runs 3:00 AM | armed |
A full property management system on the same database as the ledger — reservations, rate plans, folios, housekeeping and night audit.
What it actually does.
The diary refuses what the property cannot do
A room already sold, a rate that does not apply to those dates, a head count the layout cannot seat. Refusing it at the booking is cheaper than discovering it on the day.
- Availability checked against real inventory, not a spreadsheet of room counts.
- Deposits held as a liability until the guest stays.
- Group and corporate blocks held, released and chased on their own schedule.
The folio, the room and the books move together — there is no nightly export to accounting.
Room status is what housekeeping reported
Not what the system assumed from a checkout. A room is not sellable until somebody says it is, and a job marked as blocking takes it out of sale until it is finished.
- Housekeeping and maintenance as jobs with an owner and a clock.
- Minutes per room, linen and amenities carried as a real cost.
- Outlet charges post to the folio and the ledger in one movement.
Full is not the same as profitable. What each channel leaves you is on the revenue page.
The ones people ask about this.
Can it replace our PMS?
Yes, and that is what puts rooms and F&B on one set of books. If you are contracted to a PMS we integrate instead and still consolidate.
Does it do night audit?
Yes — the trading day balanced and posted before anybody goes home, so the morning starts on finished numbers.
What about foreign currency at the desk?
Recorded at a rate with its source and date, held as unrealised while the notes are in the drawer, realized when the bank buys them.
Nothing here is a separate product.
